How The Cohost Company collects, uses, and protects your information, and the choices you have.

Information We Collect

We collect the information you give us and a limited amount of technical information your device shares automatically. We only collect what we need to take your reservation, host your stay, and improve the experience.

Information you provide

  • Your name, email address, and phone number
  • Reservation details: dates, property, number of guests, and special requests
  • Payment information, processed securely by our payment provider (we never store full card numbers)
  • Anything you send us when you ask a question or request support

Information collected automatically

  • Device and browser type, IP address, and general location
  • How you arrived at the site and the pages you view
  • Cookies and similar technologies, described in Cookies & Tracking

How We Use Your Information

We use your information to:

  • Confirm and manage your reservation, including collecting the deposit and remaining balance
  • Send stay-related communications such as check-in instructions, access codes, and checkout reminders
  • Respond to your questions and support requests
  • Understand how the site is used so we can improve it
  • Measure the performance of our advertising
  • Comply with our legal and tax obligations

We rely on your consent for marketing communications, and on our legitimate interest in running and improving the business for everything else. You can withdraw consent at any time.

Cookies & Tracking Technologies

We use cookies and similar tools to keep the site working, understand how it is used, and measure our advertising. You can control cookies through your browser settings, and you can opt out of the analytics and advertising tools below individually.

Essential

Required for the site to function — keeping your booking session active and the site secure. These cannot be turned off.

Google Analytics 4

Helps us understand aggregate site usage: which pages are visited and how people move through them. You can opt out with Google’s browser opt-out add-on.

Meta Pixel & Conversions API

Measures the effectiveness of our advertising on Facebook and Instagram and helps us reach people who may be interested in a stay. This uses cookies such as _fbc and _fbp. You can manage this through your Meta ad preferences.

Hotjar

Captures anonymized session recordings and heatmaps (clicks, scrolls, and movement) so we can see where the site is confusing and improve it. Hotjar automatically masks sensitive form inputs, and we do not use it to read what you type. You can opt out via Hotjar’s opt-out page.

Attribution

When you arrive from a link or ad, we store the campaign details (the “UTM” tags in the link) so we know which campaign brought you. This is used for our own reporting and is never sold.

We honor your browser’s “Do Not Track” preference where it is technically supported.

Phone Calls & Text Messages

When you give us your phone number at checkout, we may call or text you about your reservation — for example booking confirmations, check-in instructions, access codes, reminders, and support. These are stay-related messages, not marketing, and providing your number is solely to help us host your stay.

Message and data rates may apply. You can ask us to stop texting at any time by replying STOP or by emailing reservations@thecohostcompany.com.

We never sell or share your phone number with third parties for their own marketing. It is shared only with the service providers that send messages on our behalf, and only to deliver communications about your stay.

How We Share Your Information

We do not sell your personal information. We share it only with the service providers that help us operate, and only as much as each needs to do its job. These providers are contractually limited to using your information on our behalf.

  • Payments: our payment processor handles card transactions securely
  • Property management: manages reservations and guest records
  • Email & messaging: sends your confirmations, receipts, and stay messages
  • Customer relationship management: organizes guest contact details and communications
  • Analytics & advertising: Google, Meta, and Hotjar, as described above
  • Hosting & infrastructure: securely hosts the website and stores site data

We may also disclose information when required by law, to protect our rights or guests’ safety, or in connection with a business transfer. As noted above, your phone number is never shared for third-party marketing.

Data Security

We take reasonable administrative, technical, and physical measures to protect your personal information from unauthorized access, use, or disclosure — including encryption in transit and trusted payment infrastructure that keeps card details off our systems. No method of transmission or storage is completely secure, but we work to keep your information safe and to address any issues promptly.

Data Retention

We keep your information for as long as needed to host your stay, meet our legal, tax, and accounting obligations, and resolve any disputes. When it is no longer needed, we delete it or remove the details that identify you. You can ask us to delete your information sooner, as described in Your Choices & Rights.

Your Choices & Rights

Depending on where you live, you may have the right to:

  • Access the personal information we hold about you
  • Correct information that is inaccurate or out of date
  • Ask us to delete your information, where permitted by law
  • Opt out of marketing emails (use the unsubscribe link) and stay texts (reply STOP)
  • Opt out of analytics and advertising cookies, as described in Cookies & Tracking

Children's Privacy

The site and our bookings are intended for adults 18 and older. We do not knowingly collect personal information from children. If you believe a child has provided us information, contact us and we will delete it.

Changes to This Policy

We may update this Privacy Policy from time to time. When we do, we will revise the effective date at the top of the page, and significant changes will be made clear on the site. Your continued use of the site after an update means you accept the revised policy.
